    Overview

    Our client is seeking a Facilities Senior Coordinator to serve as a key operational leader and the primary face of their corporate hub. Stationed at the reception desk, this individual delivers an exceptional first impression and workplace experience for team members, candidates, board members, and external partners while driving critical operational initiatives. This role presents an exciting opportunity to act as an owner, mentor junior team members, and manage cross-functional projects that optimize safety, efficiency, and day-to-day facilities performance.

    In this role, you will oversee daily facilities operations, vendor performance, workplace services, and site improvement projects. You will partner closely with Operations, Safety, Security, IT, HR, Procurement, and Real Estate teams, as well as external property management and vendors, to maintain high operational standards and implement continuous improvement initiatives across the facility.

    Responsibilities

    • Oversee day-to-day facilities operations for the assigned site, ensuring a safe, clean, and fully functional work environment.
    • Serve as the primary front desk contact, delivering a best-in-class workplace experience for team members, candidates, visitors, and suppliers.
    • Manage relationships with janitorial, HVAC, waste, security, and local Property Management teams, ensuring service level agreements (SLAs) and key performance indicators (KPIs) are met.
    • Perform routine facility inspections, vendor audits, and manage facilities work orders to ensure timely resolution of service requests.
    • Coordinate corrective and preventative maintenance activities, office moves, workstation assignments, and workplace setups.
    • Support facility improvement projects, space planning, renovations, and furniture installations from planning through execution.
    • Track project schedules, budgets, purchase orders, invoices, asset inventories, and facility expenses to ensure financial compliance and efficiency.
    • Support team member engagement initiatives, site events, and facility readiness for business operations, audits, and peak events.
    • Mentor and provide operational guidance to Facilities Coordinators and new team members while developing and maintaining standard operating procedures (SOPs).
    • Participate in after-hours emergency response and travel as required by business needs.

    Required Skills & Experience

    • Bachelor’s degree or equivalent professional experience.
    • 3+ years of experience in facilities management, workplace operations, property management, or a related field.
    • Proven track record of managing multiple vendors, third-party service providers, and local property management relationships.
    • Hands-on experience coordinating facility maintenance, repairs, workplace projects, and managing work order systems.
    • Proficient in Microsoft Office Suite (including Excel and PowerPoint).
    • Strong organizational, project management, multi-tasking, and prioritization skills.
    • Excellent written and verbal communication skills with a strong customer-centric focus.
    • Ability to perform physical tasks associated with facilities management, including lifting/carrying up to 50 pounds, extended periods of standing or walking, and bending, stooping, or climbing stairs/ladders as needed.

    Preferred Skills & Experience

    • Experience utilizing facility ticketing platforms such as ServiceNow, Corrigo, or similar tools.
    • Familiarity with project management platforms such as Asana, Monday, Jira, or similar software. Knowledge of OSHA regulations, life safety systems, and workplace compliance requirements.
